Recurring schedules vs. one-off jobs

By the end of this page, you’ll understand the one rule that decides how every job in CrewProof gets created: jobs come from schedules.

Before you start

You’ll need a site and a cleaner already added.

What a schedule is

A schedule is a recurring pattern, not a job itself: which site, which days of the week, what start time, which cleaner, and an optional checklist. Nothing appears on anyone’s phone until you generate jobs from it.

Steps: create a schedule

  1. In the left menu, click Schedules, then Add New Schedule.
  2. Choose the Site.
  3. Under Assignee Type, choose Individual and pick the Assigned Cleaner. (Crew assignment is marked Coming Soon — see What’s coming.)
  4. Tick the Days of Week this site gets cleaned.
  5. Set the Start Time.
  6. Optionally add tasks under Checklist Template, one per line, using Add Task.
  7. Save the schedule.

Handling a one-off visit

CrewProof doesn’t have a separate “create a single job” button — every job comes from a schedule. For a genuine one-time visit (a post-event clean, a same-day emergency call-out), the real way to do it today is:

  1. Create a schedule for that site and cleaner as usual.
  2. Under Days of Week, tick only today’s day.
  3. Set the Start Time to when the visit should happen.
  4. Save, then generate jobs for today.
  5. Afterwards, edit the schedule and switch it off (or delete it) so it doesn’t repeat next week.
