Sites and the geofence: how GPS clock-in actually works

By the end of this page, your cleaners won’t be able to clock in from the parking lot down the street — or from home.

Before you start

You’ll need a customer to attach the site to, and the site’s exact address.

What a geofence actually is

Picture an invisible circle drawn around the building. CrewProof checks your cleaner’s phone GPS the moment they try to clock in. Inside the circle, the job starts. Outside it, it doesn’t — no exceptions, no override button.

Steps

  1. Go to Clients, open the customer, and go to Sites. Click Create Site.
  2. Choose the Client this site belongs to.
  3. Enter the Site Name — the building or area, e.g. Main Building or Warehouse.
  4. Under Location & Geofence, type the address into Search for a location… and pick it from the results. A marker drops on the map.
  5. Drag the marker if it’s not centred exactly on the building.
  6. Use the Detection Radius slider to set how wide the circle is, in meters. It starts at 100m by default.
  7. Click Create Site.

Don't skip the map

CrewProof lets you save a site without setting a location — but your cleaners won’t be able to clock in there until you do. They’ll see: “Site location not configured. Please contact your manager.” If a cleaner reports that error, come back here and finish setting the pin.

How wide should the circle be?

There’s a real trade-off. Too tight, and an honest cleaner standing at the loading dock gets locked out. Too loose, and the geofence stops proving anything — a cleaner could clock in from their car across the street.

Start with the recommendation for your property type, then widen it only if a genuinely honest cleaner keeps getting locked out at the edge of the building.

What happens if a cleaner is outside the circle

CrewProof doesn’t let it happen and sort it out later — it blocks the clock-in on the spot. Your cleaner sees an alert on their phone: “You are too far from the job site. Please move closer.” There’s nothing for you to review afterward; if the job started, they were inside the circle when it did.

If something goes wrong

  • “Site location not configured. Please contact your manager.” — the site was saved without a map pin. Edit the site and set its location.
  • A cleaner insists they were on site but got blocked — check the radius. A very tight radius (well under 50m) on a large property can push the edge of the building outside the circle.
